RE: Olympus hand-held recorder - advice [2008-11-18]

I just took a job with a 6-doc neurology practice. They are months behind on dictation as the docs stopped covering the hospital and instead now see patients daily in the office. Dictation is behind 3 months. They have Olympus DDS. All docs have different way of doing their notes. We do new patient notes, office visits, as well as EEG, EMG, transcranial dopplers, carotid ultrasounds, and the docs all want their own way. We are swamped. The former transcriptionists quit. The office is not technologically saavy, and neither am I. But I do know the situation is critical. Should we get a new system that would require docs compromising on a single template for each note, or use the current Olympus DDS system and work with the doctors on templates? There has got to be a better way..We are drowning. Thanks for any suggestions. Office manager is looking to us (3 MTs) for the solution.

Not sure what you question is, but the dictation and transcription using this system should be acceptable as any other. I wonder what would be the alternative and how it could be improved. Sounds to me like at 3-months behind, you should do a temporary outsource to get caught up before a needed report not on the records comes back and bites the manager.
Why would Olympus files not work with FTP? [2008-08-10]
The types of file shouldn't have any impact on FTP use. FTP is simply a place to store and transfer files, whatever the type. Can you provide more details as to why you think they don't work well with FTP? FTP is the quickest and easiest way to transfer files, IMO.
Olympus 3300 ... will this work with express scribe? (sm) [2008-07-07]
I see that you can buy an optional olympus transcription kit but I have the pedal, ear phones and express scribe. Does anyone know if this works with it?

My doc uses Olympus WS110 [2008-05-18]
It was around $70, and the recorder comes apart and it actually IS a memory stick. The sound quality is AWESOME. It sounds like surround sound and it's clear as a bell.

as well as the 3000 and see which one might work better for me. Do they both have good sound quality? I just need something basic he can walk around the ofifce with and dictate after each patient and that I can swap cards out to bring the dictation home. I assume they both work with basic files that Express Scribe plays, like .wav, .dss, etc.? I'd be interested in hearing the price on the 3000 if they're offering a deal. I don't knowyet if the doc will buy the transcriber or if I'll have to make the investment myself. Thanks so much!
Olympus DSS/Express Scribe [2008-02-07]
I actually have several doctors that use several different Olympus recorders that produce DSS files and I use Express Scribe to play the files, so it should not be a problem at all. I have not found any files that Express Scribe cannot play in fact. I am sure there must be some that it cannot play, but I personally have not found any yet:) Hope this helps.

I have a potential new client that is using an Olympus DSS system they tell me. My question is can I just use Express Scribe to play these or would I need to purchase the something like the Olympus AS-400 system to play their files?

I had purchased the same model and found that you could not tape over anything the physician had already dictated. It is for taping conferences, meetings, etc.
Anyone familiar with Olympus DS-30? [2008-01-28]
I need to find digital recorders for a few doctors. I am looking at the DS 30, but want to make sure its a decent recorder, but don't want to spend too much $$. They want to email me the digital files--so I was wondering if this recorder is pretty easy to use/set up?

Olympus Digital Recorder [2008-01-28]
Not sure about the DS-30, but we bought a DS-50 for one of my doctors. I believe it cost approx $250. Sound quality is excellent. I do not think it was too difficultof him to set it up on his end. I use the AS4000 Transcription Kit and it works very well.

Basically, you get what you pay for. The pricier models have more features and better sound quality. The biggest problem I have seen users have is they interface that Olympus created to download voice files from the recorder to the desktop. There's an extra step to some that require you to upload to an Audio Folder before moving to a desktop. Also, some programs will not playback .dss files (Olympus's proprietary voice file). Express Scribe (newest version 4.17) does work and is free.

Sorry, I guess I wasn't clear. I don't have Olympus software, just the free download that is call DSS Player Lite. I guess that doesn't have a converter in it, I didn't see one. I have since downloaded other software to try and play this file and nothing will. I guess I may just have to break down and buy some software since the free stuff isn't working??

I have an Olympus DM-1 and you only need [2007-09-06]
a cable to upload voice files to the computer. In fact, I lost the original software that came with the unit, but Windows automatically detects the connection and opens an upload window as soon as I connect the USB cable and turn on the unit. The rest I don't know about, but I do know you can upload the voice files with *only* the USB cable that fits the handheld unit...

The client set me up with it, and I only have experience with the transcription units, although I know the dictation units have docking stations that send the voice files to the computer.
I checked and one transcription unit runs around $400, although you can find it a little bit cheaper if you look hard enough.

Why not just import the file? [2008-11-26]
If you are already using a transcribing program like Express Scribe or Olympus can't you copy the file from the CD and upload it into that program? You need a special program to type from a CD directly, I think. Just a thought.

Cheap ones don't save in voice files. They're hard to use so most likely your doc will not bother to pause or rewind for dictation. You may save some money now but you will end up wasting more time to decipher the recording. The best one is Olympus DS5000... every word can be heard clearly with that.
how do the docs send the voice files to you [2008-08-19]
do they use a dropbox and then drag the files to it from a file on their pc or something like that. Our docs use Olympus recorders and now when they are done recording they just put their recorders in docking station and somehow the files are emailed directly to us, so am wondering how they would do it using this filesanywhere?? They do not like too many extra steps of course!

You can use digital signatures and that is about as secure as it gets.
The other poster mentioned FTP should not be incompatible with Olympus....I agree. It is just a place to store the file until you retrieve it. There should be no problem.

It could possibly work, but I was told by the secure FTP site that if the Olympus software was not a newer version that the doctors would then have to go to the secure FTP site and download the files manually, which would be very inconvenient for the docs. I checked and their Olympus software does not support an automatic download of the files to the docs, from what I can remember.
email is a problem for us [2008-08-11]
With email, seems quite frequently, between 4 transcriptionists, there are letters that do not make it to the clinic. We have sent them, we can see that, but for some reason, clinic does not receive them. Or, like yesterday,one of the transcriptionists had problem with email for some reasonshe was not able to send emailswith letters attached tothe clinic or even to us. There has just been a lot of problems that way and clinicwould like to find a better way???
TheOlympussystem they have does not support automatic uploads or downloads, would still have to transfer files manually, I am told by Olympus andsecure FTP site.
Help! Need New Method to transfer voice files asap [2008-08-10]
Voice files are now transferred from clinic I work for via email (unencrypted) and are then sent back via Winzip and email.
We need new method to be compliant, as well as to eliminatemany missing files it seems when sending through email. Clinic now uses Olympus equipment and does not want to use email any longer. Checked into secure FTP site and will not work well with the Olympus system they have. Any suggestions on what to do here????
CHEAP recorder, awesome sound! [2008-07-22]
My doctor uses an Olympus ws110, which he paid less than $70.00 for. He dictates, it comes apart and has a USB connector inside. It plugs into his computer, he downloads the dictations, and he e-mails them to me. I type them, e-mail them back. You can get digital signatures in e-mail for around $20 each (one for you, one for her) and no one can open the e-mails but you two. I love the whole set up! Best of luck to you.

and that's what Olympus files usually are, but you can double check because some Olympus players also use .WMA files, I believe. Express Scribe plays nearly any file, but it should list on download website what all it will play.

Can you help me figure out this digital recorder for my friend? [2008-07-05]
Her doc wants her to transcribe and he records on an Olympus digital voice recorder. When I look up the specific model she said he has, it's this http://www.aaaprice.com/olympusds330.html. My questions are this? What does she need to be able to do this work? She has a .wav pedal. I don't do this type of stuff working with these particular types of voice files from a single recorder so I'm just trying to help here. Right now he's given her JUST his little recorder to transcribe from until his software comes in (had to reorder it). He thinks she should be able to load the software onto HER computer and be good to go. Is that so? So right now she either awaits the software or has to sit and transcribe from his recorder w/o any headphones or foot pedals (which will be painstaking, LOL). Am I right? Any thoughts are appreciated.

He bought an Olympus WS110 digital recorder that just plugs into his computer to download the dictation. You can use digital signatures, send everything back and forth using e-mail without having to have an FTP site. You can also password protect documents in Word. His digital handheld was less than $75.00 and the sound quality is awesome. I use GearPlayer software with a computer foot pedal to play his files, type them in Word. I hope this helps.

I recently added a new doctor who did tapes, and within a week he said he wanted to do digital. He purchased a little $65.00 hand held and it has awesome sound quality. It's an Olympus WS110, if you want to recommend it to your docs, or even buy the things yourself, hand them to the doctors and tell them to try for a week and then decide. I am sure they will love the difference.
I'll give you my 2 cents [2008-06-02]
When I started about 15 years ago I did clinic. I had the same doctors over and over, every day. While I got to making decent line counts, I also was very bored after a short time. Clinic has all, but dried up at this point.The people who do it generally have their own accounts, pick up tapes or use an Olympus digital setup. The days when there were lots of small companies with call-in systems who hired MTs are pretty well gone. They exist, but not in the numbers they once did.
You are extremely wise to stick to acute care. That is where the work is, at this point. It is hard to develop the kind of ear that doesn't get rattled by many different voices on a daily basis. Frankly, some MTs never do get there.
With VR or SR or whatever you call it coming on more strongly as time goes on, the worse it will be for those who do traditional I-type-every-word transcription. The shloch you are getting will be the norm, not the exception.
I'd actually ask if I could have my secondary as my primary. You are fairly new to MT and you sort of need a bit of a leg up right now. Once you get into more of a groove, and yes finding a groove often takes longer than a couple of years, these things will not be such a problem for you. You will have got it by that point.
Tell me you are using an Expander and making the very most of it. That is one thing that is really helpful. It can help to take your mind off things like spelling and trying to push for more speed, and shifts more towards hearing the voices, recalling obscure terms and your accuracy. You have not been doing this too long to learn an expander and make the most of it.
Hang in there. It will get easier, but perhaps not as rapidly as you would like. For all the years I have been at this, it has only been about 4 years where I felt I had a wide margin of mastery. The scope of knowledge is just too broad.

that works well for transcription? I've been trying to research them and find Olympus has some, but pricey. The Sony's are less expensive, but they have proprietary software where you have to convert all your files to a format you can use, and I'm not sue I'd know how to do that. I just need a decent digital recorder for one doc to use and I'd like a memory card/stick so I can just stop in and swap out the cards to get the dictation. Does anyone know of one that doesn't cost hundreds? Or have a better suggestion for how to do just one doctor's dictation digitally? I don't need one with all the mailboxes/authors, etc., since it's only one doctor. Thank you!
DH10 [2008-05-16]
We have an older DH-10 in one of our offices. It uses a compact flash card and we just drop by and pick it up since they're close to the office. You might be able to find a refurbished one through E-Bay.
For the remainder of our docs we use the Olympus 3000 or 4000 and have them upload to our FTP site. With the 5000 coming out, you might be able to get a good deal on a 3000. I can check with our dealer if you're interested.

Definitely digital. You can subscribe to web sites that transmit and even store your voice files . I have received voice files as e-mail attachments. I know this is not HIPPA compliant andhad the client sign a waiver. It was only for vacation coverage anyway. Olympus makes a handheld digital recorder with it's own program. I also used a program called RhinoSoft which is an FTP based secure transfer program. Worked very well for me. You do have to train office staff on how to upload the voice files but it is SO much better than dragging back and forth with tapes.

Phone-in is more expensive, obviously. Digital handhelds are best option. You can have doctors buy or you can provide and use as a writeoff on taxes. You can use Express Scribe for most, but most of the time there is a transcription module for whatever brand of recorder you buy (Sony, Olympus, etc)

EXCEPT for my Olympus DDS player which Olympus worked with me on and had a patch for.... Express Scribe works perfectly. maybe you are not aware on how to install the programs so they work with Vista like they did in XP (?). email me and I'll explain.I amnot on mylaptop at present sohard to explain but can do in email.
