That certainly does sound like a great solution! You are right, I would probably want them to zip their files anyway since I have only dial-up available to me at home and would need it at a CG if I ever get to that point in my life.

How does one become HIPAA compliant at home? Used to working in an office - don't want to make a mistake. How do all of you do it?

I am searching for possibilities to streamline getting reports back to my client.  Is there a HIPAA-compliant way to send medical reports securely via email so that they could be printed on site?

This may be easier and less expensive than I thought.  I could just encrypt the file,  zip it and send via email.  The client could then print it out.  Has anyone successfully used a free encryption program that meets HIPAA requirements, maybe the free CenturionMail?

I have agreed to help someone out in their office tomorrow as they had a problem in the office. I realized I will be handling a lot of patient charts, company problems, etc., and would like to bring with me a simple confidentiality statement for their protection and mine without going into a long, lengthy contract. Is there anywhere on the Web I can get something quickly? This is strictly volunteer, I am not charging them, so it's kind of a sticky situation. I just want to cover both of us as they have litiginous minds in there who are very unhappy; this is why they're having problems. Help! Short and sweet, I hope, so I can type it up tonight and bring it along with me. TIA

How is keeping a patient database on your personal computer HIPAA compliant?

I would love an effortless line counting program too, but...


 


Just curious if anyone has investigated that issue with this software.


What FTP HIPPA Compliant do you use?
I am setting up my web site and I am having trouble understanding FTP and is it HIPPA Compliant. Which one do you use?

MPWord - helpful or not.  I am currently set up in Word with Instant Text.  Would MPWord help me any?  Can you use or import your glossaries from Instant Text into MPWord?  What about making your own templates and default settings such as font, tabs and format?



Does anyone know exactly how the fax options works?

Love it!!

As a moderate sized transcription service, we have found MPWord to be an absolute lifesaver for our clients and our transcriptionists with maintaining consistency in production. Support was phenomonal when setting up our first client, creating our crazy customized templates, and Vann Joe is always there for support.

The system has been very easy to use from an MTSO perspective, and very each to teach to our remote MTs. It also integrates becautifully with our Audiworxs voice management system as well.

This has definitely been one of the best investments we've made in my 35 years in business.

You can convert your InstantText entries, and making a template is as easy as typing a document. I prefer to type my header and footer info on the document and then cut and paste into the header/footer sections on Page Setup. Set tabs, font, margins, etc on Page Setup(using Ctrl+Shift+H for shortcut to Page Setup seems to be quicker for me) and then paste the header/footer info into their respective places on Page Setup. If you've cut and pasted the sum of header AND footer info into the Header or 1st page Header section, you can cut and paste the 2nd page header and/or footer info from there to the other Header/Footer sections. When you have whatever info you need where you need it, click OK and it takes you back to the document. Then, type your document with codewords (a list is included in the Help File) and save it as a template into your formats file. Then when you type the info on the demographic screen, any info you typed will be inserted into the document in the correct place, spelled correctly including correct ages and pronouns, and you just transcribe the variable info; conversely, you can put everything you can possibly think that this dictator uses on a given type of report on a specific template and just listen and transcribe and/or edit your document as you listen to the dictation. Soooo much faster this way!
MPWord?
I've been using it since it was MedPen2. I love it. Never had a question or problem that Vann Joe could not talk me thru in a couple of minutes. Of course there is a learning curve like anything else; but it actually took me LESS time to learn than the nuances of re-learning MSWord or WordPerfect, or having to go back to WP51 required by some MTSOs out there, and it does SO MUCH MORE!. I will never use anything else again!

I use this product extensively from home and have been doing so for over 2 years now, and I find it fabulous. It is very user friendly, and should you have any questions at all, the developer of the program and his staff are extraordinarily prompt and attentive to helping you in any way they can. I strongly recommend it.

Will be working independently for physicians' office.  Need advice on email/fax encription programs that would meet HIPAA guidelines. Outlook features encryption, would it comply?

Absolutely. I can't say enough good things about Van Joe and his program!! You can't even begin to imagine the time it saves just by not having to name the file. I personally would NOT work without it!
If MPWord is a little more than you need
I have never used MPWord, but wish I would have purchased that now instead of Smartype although I do love it. I currently use MPLite and cannot imagine ever being without it. The OP is right when they said how much time it saves just not having to name files! Not to mention the patient database. Vann Joe is the best and you will not find better customer service!

I have been using MTSO and MPWord for quite some time now. I love the program and Vann Joe. Any questions I have he has answered and walked me through templates and other issues. The program is one of the greatest programs that we have invested in over the years.

You may not need all that MPWord offers.

I've looked at MP Word several times myself and it just more than I need, although in a different setting/situation, I may need all the options. If you have a choice and you have MS Word available to you, you will be fine. You should have an encryption method available to you; WinZip offers encryption with it's Pro version, about $50.


Just something else for you to consider.


How long ago was this? I know MPWord to work quite well for me.

MPWord and assembling the documents into one
Hi,

MPWord does require you do a separate file for each dictation, but it takes the drudgery out of this, for it automatically saves/names the files for you.

It also has a feature that allows you to put all those notes into one file at the end of the day. If you don't need to preserve headers/footers use the Sticky Notes (Append). If you do need to preserve headers/footers, use PDF (Assemble). With either function, you can send your client one file with the day's work.

MPWord current users - good and bad?

One of my accounts want each pt in an individual file and this looks like a great answer.  I've searched the archives and found nothing negative about this program, only positives.  I downloaded the free trial and it looks pretty simple.


Is anyone currently using the program?  Do you like it?  Are there any negatives?  Any helpful info to start with?

What about HIPAA?
   Our hospital is adamant about no accounts going offshore.  Not only because of quality, but also privacy, lawsuits, etc.  ESPECIALLY after what happened a couple years ago between UCSF Hospital and sub-sub-contractor in India.  (MT there who got gypped in pay held accounts for "ransom".)

Why would that be against HIPAA?
I have to save my files at least through the invoice period anyway.  Why would it be against HIPAA to run them through IT? 
I'm not the OP, but yes, there is a HIPAA (sm)
violation if you keep copies of patient reports on your hard disks in a form where the patient is identifiable.

What I do to make my normals and IT glossaries is cut/paste a copy of the body of each report, with no info to identify the patient, into wordpad and save under the dictator's name (such as jones hysterectomy, smith HP, etc).

There is nothing in HIPAA that says this information cannot be in the record. What it says is that IF you need to de-identify the information for any reason, all of those things must be removed. Probably not the best policy to have but not a HIPAA violation.

I was recently hired as an employee at a doctors office and we have been discussing taking my MT work home. It is all on hard copy except for occasional e-mails I need to send to the office to download. What do I need to be doing to comply with HIPAA?

I use encrypted e-mail through CryptoHeaven, cryptoheaven.com.  They have a bunch of different packages and well priced.  All work must be kept confidential and protected as much as possible (lock box for saved work on CDs).  I keep all patient lists only to type and then they are shredded.  Make sure if you are faxing pt lists back and forth, you are using a front fax cover sheet with a statement on it regarding confidentiality, etc. (your doctor's office probably uses this when sending stuff from their office).  I also have the ability to lock my office when there are parties, etc. at the house just to be on the safe side.

But I wonder why they were asking you all those questions? The only thing I remember when enrolling my son was making sure his shots were up to date. Of course, we are talking a long time ago!


I don't understand why a kindergarten would need such a thorough medical history on their students. HIPAA or not, it sounds like invasion of privacy to me.

It's HIPAA, not HIPPA, and the provisions are only enforceable within the US.

There are free HIPAA courses online; you don't have to become certified, just become familiar with it so your work area, computer, etc. are compliant. Should be mandatory learning for all MTs.

HIPAA Compliance ?
Does anyone have any knowledge about a US MT typing from home and any HIPAA compliance violations if this MT also types from a 2nd residence in a different state for part of the year?
HIPAA response
HIPAA has more to do with the confidentiality of a patient's information. It has nothing to do with what residence you transcribe from, as long as you maintain the confidentiality of the patient's information. The company you work for may have some sort of requirement that you notify them if you'll be working from a location other than the location that they have on record for you.

A lot of the national transcription services have many accounts where the hospitals/docs still want the name of the patient in the body of the report and do not want "the patient" in the body of the report. So the facilities still respect what the doctors want.

HIPAA at the Hosptial

Was at the hospital yesterday for some radiology testing. To summon me from the waiting area (full of other patients), the person who does the registrations used my first and LAST NAME! Bleah!


Then, after I was registered and back in the waiting area, another patient entered, sat beside me, and said "So, you're here for the same thing I am--I heard you mention it when you were being registered. I was in the next cubicle."


Shortly after this a different hospital employee summoned another patient from the waiting area using first AND LAST NAME! EEEK!


What on Earth ever happened to the HIPAA regulations? HIPAA applies to the hospital setting, right?


Any suggestions?

as long as these private records continue to travel overseas beyond the reach of the long arm of U.S. courts and law enforcement.

have the account use digital recorders that are uploaded to your FTP site? Bypass the TASP entirely. Or if you are the only transcriptionist, you can use Bytescribe's E-shuttle. Check it out at bytescribe.com
