I need some advice on digital dictation systems

Posted By: please...sm on 2008-07-21
In Reply to:

I am talking to a psychotherapist about possibly doing her transcription.  She does not dictate presently, but is interested in getting started. I am thinking of asking her to go digital, but I don't know the first thing about getting started, what equipment we'll need, etc.  I currently work for a national, so they sent me the PC and footpedal, and that was it. Any advice would be so appreciated.  I don't wanna sound like a dummy when we talk...thanks y'all!

I would go with a DVR and have the docs load it on their computer.  Sounds great!
Dictation Systems

I'm looking at going from the good ol' tapes to digital dictation.  What is the best choice for the $$?

Thank you

Dictation systems
Can anyone recommend any good Internet based call in phone systems for doctors to utilize without spending a lot of money on phone line based/computer systems.  Thanks
Dictation systems - all input welcome

Hi.  Please let me know if I should post this on a different board. The hospital I work for is looking to change dictating/transcribing systems.  We have dictaphone extext and are looking at WinScribe, Escription, or really we are wide open.

Does anyone know of a good internet resource that compares the pros and cons?

Would any of you be willing to share your experience, good or bad, with any software you have used?

Is there a forum or a thread that has already covered this you can direct me to to research?

TIA!

Digital dictation set up

Hi all,

After a very stressful week with the WRONG person (a so called professional) helping me to set up digital dictation using the wrong software (Long story there, but will not go into right now) I need advice.

I purchased an Olympus DS-2 hand held dig recorder for the one doctor I have it is just me transcribing, no subs used ever.  The Olympus software I assume is not HIPAA compliant, correct?  I dont see it mentioned anywhere so that is why I assume this. I need something to send the voice files on the doctors end that will be HIPAA compliant/encrypted, etc.  I do not need to send back finished work via internet.  SO I need a one sided (him sending to me) program that will be very user friendly on his end.  It has taken me nearly 15 years to get him to this point, so we are taking baby steps.  I do not want to spend a lot of $$ for one account at this point.  What advice can any of you give me?

Thanks so much, sorry it is long........

Need help with digital dictation

I currently have my own account that is digital, but I did not have to setup their voice recorders.  I only had to install the secure program I use for file transfer and show them how to move their voice file into my program.

So, I guess my question is when a doctor buys a digital recorder does it come with its own software program that allows them to plug their recorder into their computer and upload the voice file onto their computer?  I know at that point they can just click on the file and drag it over into my program where I access it to transcribe it, but I’m lost on how they use their recorders as I’ve actually never seen that part of it.  I just got a new account and would like to know this information before my meeting with the office manager, so I don’t sound like a complete dork :)

Any help or explanation as to how the doctors do their end of uploading their voice files would be greatly appreciated.

Thanks so much!

The dictation is digital.
All dictation is discarded upon completion. The OM saves a copy on her computer as well until I have completed my end so that if there is a problem with transmission, etc., the dictation can be resent.

Thanks!
Digital Dictation and FTP Sites
Transcriptiongear.com - they have Idigital (digital transcription ) which I have been using for 8 years and GearFTP which which they have just started and are cheaper that the rest unless they are free - but may be limited in how much you can send or store.
Searching for digital dictation

Hi,

I'm looking for some advice and direction.  I am looking for possible options for a digital dictation/transcription system for a multioffice practice on a Citrix network environment with remote transcriptionists.  Several years ago I worked for a web based transcription service that used Chartnet, but that was several years ago.  I don't 'really remember any big issues, but I don't need the payroll, production aspect of a system.  I am looking more for tracking, in having control of knowing incoming and outgoing jobs with a system.   Our practice is integrating with EMR; however, several of our physicians continue to choose to dictate and I am looking to other transcriptionists to possibly point me in the direction of software that they have used so I can research and try to find a product that will fit our practice - we are still on micro tapes. I am looking for a system that of course would be Transcriptionist friendly, but also afford me the ability to manipulate the jobs, i.e. assigning easily, producing reports and software that has good tracking abilities and of utmost importance, excellent sound quality for the player.  As a transcriptionist, I personally would look for a system that I will not spend a lot of time in the download function and the complete function.  It isn't real effective to me if the time uploadinging and downloading per job takes longer than actually transcribing the jobs.  We have a large quantity of work.  Key to me is having control of my work, meaning the physicians being able to identify dictation with a patient number and my being able to track jobs downloaded.  Forgive my rambling!!  I would appreciate anyone responding to me with any suggestions or telling me of your experience with software.

Thank you in advance - I know that the first place I needed to go with this transcription question was to the experts - folks that use these systems and are familiar.

Dictation Digital Voice question
I need some assistance, please. Could someone tell me which transcription units are compatible with Dictaphone Digital Voice? Thanks!
Static in digital dictation file

I'm just wondering if anyone else has this problem.  The dictator is using a Sony, (dont know what model, but it is only about a year old), which uses a memory stick exactly like the ones used in the Sony cameras.  I think he uses a microphone that he plugs into it.  There are times when there is so much static I cant understand anything he's saying.  Other times, it sounds very very clear.  I know it isnt my equipment.  It's his.  I think this happens when he's moving around.  Background noise doesnt bother me, I know it isnt background noise I'm hearing. I can tell the difference. Does anyone else have this problem?  And is there some kind of filter that he or I could buy to clean this up.  I'm using Express Scribe and tried their noise removal program, to no avail.

Thanks in advance for any advice.

JoAnn

They are probably looking for a call-in digital dictation system or
if they have one in their office, a ld service for you to call in and get the dictation.

I certainly would ask and clarify what exactly they are looking for and what they want.

Good luck!
Speed increase on digital dictation
I am switching over from tapes to digital.  I am using Express Scribe to play my files.  I am used to playing my tapes at a faster speed.  I find that on the digital dictations, some of the clarity is lost when I increase the speed.  Does anyone else have this problem and do you have any suggestions/solutions?  Thanks in advance!
Digital dictation setup to use with express scribe (sm)

I can't find the post that tackled this subject a month ago.  I'm looking to get one of my clients set up on digital dictation.  I have on my end express scribe, the headphones and the foot pedal.

I'm either going to set up an upload function on my webspace or have the client email me the voice files.

Can someone recommend an inexpensive recorder that I can purchase for him (I can't afford the $200-$300 recorders) that can have the files uploaded to his PC so they can be sent to me and I can transcribe them on express scribe?

Thanks in advance!!

Advice about digital please

After several years of transcribing from tape, two of my accounts are talking about going digital.  I know very little about this.  I did purchase a wave pedal and have downloaded Express Scribe.  I know nothing about FTP sites, but did download a demo of a site called CryptoHeaven, which is more like a secure community I think rather than an FTP site.  Of course I could be wrong there, since I'm really not sure what I'm talking about.  With the CryptoHeaven it seem as though there are multiple steps involved for the doctor to transfer his voice files.  I have been told that there is a way with FTP for the doctor to just plug in his recorder into the computer and it sends automatically.  I know nothing about setting up an FTP site (although would be excited to learn), which ones are good, or how much this would cost.  Also, is there an easier way?  Any information provided would be greatly appreciated.  Please be specific, as I feel totally lost.

Thank so much!!

Lisa

Does anyone have any info on WinScribe Dictation System?? Not a transcription program but a digital

Need dictation equipment advice

Please help!  A 5 Dr. practice that I do wants to switch from tapes to digital portables.  I have help with this practice from other transcriptionists that work out of their home.  Can anyone recommend an easy to setup, user friendly, affordable dictation system to accomodate this over the internet for a non technical person?  Ideally, I will be able to set it up so that I can specify which Transcriptionist gets which Dr. & track the status of the dictation.

I do tapes and digital. And I was told if I'm not logged into the digital system, they assume I&

BUT she wants me logged into the system by 9:30 a.m.  So I'm confused too.  I've decided that I may come back to her and just say I'm not going to do the tapes anymore.  I hate the tapes anyway.  The voice quality is horrible, it fades in and out.  It takes me twice as long to transcribe their tapes than the digital.

I don't know about other systems.
I use Express Scribe sometimes but I only work on eScription. I know with a connection that slow you aren't going to be able to use EditScript. I think that the only way you are going to be able to get around that, if you are doing strictly QA, is to use EMON and not use EditScript, although I'm not sure you'll be able to get the voice file to download that way either.
I don't know if different VR systems
But, I have been doing VR for only a month, and I have noticed that the system DOES learn. Mistakes that it made before or phrases it didn't pick up before, it is now getting much better. I used to not want to believe it, but now that I have seen it with my own eyes, I know that it will only be a matter of time before it replaces MTs. Since I have over another 30 years in whatever career I choose, I have decided to get out. No sense in going down a road that leads to nowhere.
Advice to YOU..1st learn to spell before insulting poster and trying to give advice...sm

I have wireless for 3 systems but I believe you
will have to have DSL coming in on a router. From my understanding (and goodness knows I could be wrong) I don't think you can have "wireless" internet without a router from another source. The router is attached to your phone line for DSL and sends out the signal for other wireless adaptors to pickup.

Reminds me of systems
I've worked on that used Citrix; not being computer savvy, I don't know if they called it a Citrix server or what, but apparently it was a company that they used for some part of the process, and it was not compatible with the software. They I think they had to switch to some other company to speed things up.

That should be about as clear as mud. Sorry.
How about under classification systems in
AAMT BOS(assuming you have this/if not, you can get free through MQ). Hope this helps!
Call-in systems
I've tried out 4 so far. What are the good/bad points of the system you are using?

Thanks!
Are systems capitalized in ROS?

Some companies' systems are not
compatible with the "new" software, just like a lot do not use Vista. You have to buy what is required to work.
How hard is it to network 2 systems
I would like these 2 systems to talk with each other and have no idea of how to do it?

So right about the Huge Health Systems - sm
in fact, that was 99.9% of the problem at my hospital. Once it got gobbled by a greedy HMO, everything went downhill fast. They got their fancy new campus at the expense of quality medical care and ethical treatment of its employees.

The run-'em-in and run-'em-out style of practicing medicine puts a lot of pressure on the MDs to see patients quickly, but it's SO not thorough! I saw this not only in the rushed, often mistake-filled reports they dictated, but in my own care as well. They lost a lot of their top-notch MDs because they refused to practice that superficial style of 'Mc Medicine'.

When I see all the greed in the HMOs, and the overspending on upper management and not enough on the nuts-and-bolts of what makes a good hospital, it's easy to see that although they're high-on-the-hog right now, alot of those pompous U-no-whats are riding for a BIG fall someday. I hope I'm still around to see it - it'll make my day.
Rosemarie is right on for trained VR systems. SM
You are obviously currently working with a new system that is still learning how to do its job. The first typewriters were undoubtedly really a pain to use, too. The poor clerks of those days must have begged just to be allowed to use their pen and ink as they always had.

My current system isn't as learned/advanced as my last one, so lots of corrections. It's about as much fun as doing QA cleaning up after a pack of new and sloppy MTs. But it's a temporary situation. And my current pay rate reflects the time needed for all those corrections. Does yours?

Over time, though, more and more reports do start coming through in good condition until most of them just require some general cleanup here and there.

Editing does shift emphasis from one skill to another.
I can see how the very fastest of typists might not make more editing than typing--they always speeded the dictation up to match them, and how people with little talent for editing might make less, but most people should do just as well editing as typing and many do make more at it.
Nuance or OPUS systems

Is anyone out there in transcription land familiar with either of these systems?  I'm starting work for a new client (Pathology) and find them inefficient and require too much non-transcription work to look up doctor's names and demographics.  I'm wondering if I'm missing "something".  Thank you to anyone who can give me a clue.    d

voice reginition systems
If you get dragon and have it listen to the dss files that come in will it automatically start typing the doctors dictation or does it have to be the same voice over and over?
Brinker Information Systems
Has anyone heard of Brinker Information Systems, LLC?  I can't seem to find them on the web or anywhere.  They are based out of Center City, MN.  They have sent me papers to be faxed to them for IC work, but they did not ask me to test for them or anything.  I am leary to send them anything.  If anyone knows anything it would be helpful.
Brinker Information Systems
I am in the same situation. I would like some information too if anybody has some. Thanks
I agree, we train the VR systems and when
they are perfect (maybe this will never happen), then VR replaces us. Duh?
How can this be an incentive for MTs?
Front-end/back-end systems...

"Front-end" SR means that the original dictator's speech is turned into text. "Back-end" SR means that someone listens to the original dictator, redictating and "cleaning up" the original dication.  This "sanitized" redictation is then fed into the SR engine.

The main disadvantage of "front-end" systems in the healthcare setting is that they must try to adapt to the speech peculiarities of many different dictators, whereas a "back-end" system only has to deal with the speech patterns of one dictator, namely the person who does the redictation.

Back-end dictation adds a layer of human intelligence to the conversion of speech to text because the person redictating presumably catches errors, eliminates hesitations and miscues, squares up ambiguous sentence structures, etc. - things that front-end dictation cannot do or does very poorly.  As such, while the back-end speech engine might still cause some errors that require keyboard correction, there should not be nearly as many as front-end systems produce.  And, a back-end SR application can be less sophisticated than a front-end system because it is not being required to deal with so many vagaries of human speech.  In fact, a back-end SR application does not need artificial intelligence at all, whereas front-end SR really does.

Point of Care systems

Anyone here had experience with doctors going to Point of Care systems (Pulse)? My doctors are trying this now and I'm wondering if it will be too difficult and time consuming for them. Sure is cutting way back on my work. Thanks. Teri.

I believe it is best not to name names, as others have pointed out in this message board. So, instead, I will simply post the job as listed on MTjobs.com and say that the same person is posting this job as when I was bilked. 'Nuff said.

They have always done well by me. I don't trust the computer phone systems. sm
If my computer goes out, them my phone goes out and how will I call them?  I prefer to have my eggs in several baskets.  Computer and TV cable on the same line.  Phone on a land line, Verizon.
You can still buy some computers with the choice of operating systems.
I know for a fact that you can do this on the Dell website, although not all models offer that option. Your best bet is to find someone who can buy a computer that does what you need it do to, no more and no less. That way you can pay for only what you want/need.
