Searching for digital dictation

I'm looking for some advice and direction.  I am looking for possible options for a digital dictation/transcription system for a multioffice practice on a Citrix network environment with remote transcriptionists.  Several years ago I worked for a web based transcription service that used Chartnet, but that was several years ago.  I don't 'really remember any big issues, but I don't need the payroll, production aspect of a system.  I am looking more for tracking, in having control of knowing incoming and outgoing jobs with a system.   Our practice is integrating with EMR; however, several of our physicians continue to choose to dictate and I am looking to other transcriptionists to possibly point me in the direction of software that they have used so I can research and try to find a product that will fit our practice - we are still on micro tapes. I am looking for a system that of course would be Transcriptionist friendly, but also afford me the ability to manipulate the jobs, i.e. assigning easily, producing reports and software that has good tracking abilities and of utmost importance, excellent sound quality for the player.  As a transcriptionist, I personally would look for a system that I will not spend a lot of time in the download function and the complete function.  It isn't real effective to me if the time uploadinging and downloading per job takes longer than actually transcribing the jobs.  We have a large quantity of work.  Key to me is having control of my work, meaning the physicians being able to identify dictation with a patient number and my being able to track jobs downloaded.  Forgive my rambling!!  I would appreciate anyone responding to me with any suggestions or telling me of your experience with software.

Hi all,


After a very stressful week with the WRONG person (a so called professional) helping me to set up digital dictation using the wrong software (Long story there, but will not go into right now) I need advice. 


I purchased an Olympus DS-2 hand held dig recorder for the one doctor I have it is just me transcribing, no subs used ever.  The Olympus software I assume is not HIPAA compliant, correct?  I dont see it mentioned anywhere so that is why I assume this. I need something to send the voice files on the doctors end that will be HIPAA compliant/encrypted, etc.  I do not need to send back finished work via internet.  SO I need a one sided (him sending to me) program that will be very user friendly on his end.  It has taken me nearly 15 years to get him to this point, so we are taking baby steps.  I do not want to spend a lot of $$ for one account at this point.  What advice can any of you give me?

Need help with digital dictation

I currently have my own account that is digital, but I did not have to setup their voice recorders.  I only had to install the secure program I use for file transfer and show them how to move their voice file into my program.


 


So, I guess my question is when a doctor buys a digital recorder does it come with its own software program that allows them to plug their recorder into their computer and upload the voice file onto their computer?  I know at that point they can just click on the file and drag it over into my program where I access it to transcribe it, but I’m lost on how they use their recorders as I’ve actually never seen that part of it.  I just got a new account and would like to know this information before my meeting with the office manager, so I don’t sound like a complete dork :)


 


Any help or explanation as to how the doctors do their end of uploading their voice files would be greatly appreciated.

The dictation is digital.
All dictation is discarded upon completion. The OM saves a copy on her computer as well until I have completed my end so that if there is a problem with transmission, etc., the dictation can be resent.

Digital Dictation and FTP Sites
Transcriptiongear.com - they have Idigital (digital transcription ) which I have been using for 8 years and GearFTP which which they have just started and are cheaper that the rest unless they are free - but may be limited in how much you can send or store.

I need some assistance, please. Could someone tell me which transcription units are compatible with Dictaphone Digital Voice? Thanks!
Static in digital dictation file

I'm just wondering if anyone else has this problem.  The dictator is using a Sony, (dont know what model, but it is only about a year old), which uses a memory stick exactly like the ones used in the Sony cameras.  I think he uses a microphone that he plugs into it.  There are times when there is so much static I cant understand anything he's saying.  Other times, it sounds very very clear.  I know it isnt my equipment.  It's his.  I think this happens when he's moving around.  Background noise doesnt bother me, I know it isnt background noise I'm hearing. I can tell the difference. Does anyone else have this problem?  And is there some kind of filter that he or I could buy to clean this up.  I'm using Express Scribe and tried their noise removal program, to no avail.

They are probably looking for a call-in digital dictation system or
if they have one in their office, a ld service for you to call in and get the dictation.

I certainly would ask and clarify what exactly they are looking for and what they want.

Speed increase on digital dictation
I am switching over from tapes to digital.  I am using Express Scribe to play my files.  I am used to playing my tapes at a faster speed.  I find that on the digital dictations, some of the clarity is lost when I increase the speed.  Does anyone else have this problem and do you have any suggestions/solutions?  Thanks in advance! 
I need some advice on digital dictation systems
I am talking to a psychotherapist about possibly doing her transcription.  She does not dictate presently, but is interested in getting started. I am thinking of asking her to go digital, but I don't know the first thing about getting started, what equipment we'll need, etc.  I currently work for a national, so they sent me the PC and footpedal, and that was it. Any advice would be so appreciated.  I don't wanna sound like a dummy when we talk...thanks y'all!

Digital dictation setup to use with express scribe (sm)

I can't find the post that tackled this subject a month ago.  I'm looking to get one of my clients set up on digital dictation.  I have on my end express scribe, the headphones and the foot pedal.


I'm either going to set up an upload function on my webspace or have the client email me the voice files.


Can someone recommend an inexpensive recorder that I can purchase for him (I can't afford the $200-$300 recorders) that can have the files uploaded to his PC so they can be sent to me and I can transcribe them on express scribe?

BUT she wants me logged into the system by 9:30 a.m.  So I'm confused too.  I've decided that I may come back to her and just say I'm not going to do the tapes anymore.  I hate the tapes anyway.  The voice quality is horrible, it fades in and out.  It takes me twice as long to transcribe their tapes than the digital.

On DQS, Im forever scanning the demographics screen, doing a search cause the doctors either leave the screen blank without pts name, MR#, billing number, DOB, etc., or they put in the wrong information.  So, I have to decipher what name the doctor is trying to say and/or spell and then search for it.

I am soooo very anxious right now.  I have cried all morning and cannot seem to console myself or come up with a solution.  I have been doing transcription for over 12 years and have been home for the last four.  Through those four years, though I love being at home, I have come up with generally zip as far as contentment in my job goes.  I have been an employee status, as well as an independent contractor.  I have worked for places that seemed 'ideal' until 3 months or so were up, then they'd switch accounts on me (starting out on great accounts and leaving me struggling with a bunch of crud nobody in their right minds would want to do), dealing with owners or supervisors who lay out the 'heavy hand' and do nothing but tell you what you DO WRONG (one who comes to mind nearly gave me a nervous collapse--never could please her and who'd want to the way she treated you, sarcastic, mightier than thou approach).. ugh!  I have done basic four hospital transcription, clinic transcription, ER transcription, and I just am not finding 'THE BEST' place to be.  I don't know.. maybe I'm SUPER BURNED OUT.  I never make enough money, don't have benefits, and I'm getting to the point where I feel I'm just finished with this 'career.'  If I find a place where I make a decent amount of cash, I either have to put up with an idiot for a manager/ boss/ supervisor/owner or hideous dictation.  If I go to a place that seems good as far as dictation/accounts go, and the management is decent, I wind up making next to nothing in pay.  Most places I've experienced give you a come-on to begin with, give you a decent account and after two to three months, they switch you to the crap work.  Still, they give you no pay raises for even attempting to do these reports, not like they would anyway.  I think I have worked for at least six different companies since being at home in the last four years.  I am sick of making no money, not enjoying my job anymore and dealing with all the crap nobody else wants to do.  Sorry, I had to vent.. I'm ready to give up and find a job that actually PAYS in more ways than one.

I agree..Most of my doctors dont put in the right ID number or the correct name. In the past, I have searched and searched to my loss of minutes..Heck, we already lose minutes when we have to look up words or medications that are not stated correctly..We dont get paid for research time..so recently I have decided to leave blanks when I never would before.To be fair, trans companies should pay for down time when we are researching information..


I can't decide if I should be job searching or not.
I like many aspects of my job, but I dislike certain aspects about it, too.  The thing is that this has been my best MT job ever.  That's not something you just throw away.  I know there's no perfect job out there, but I wonder if I could make more money with a better platform and an unlimited workload.

Tips on job searching

I have been doing MT for a little over 6 years.  I have experience in several different specialties.  I currently work in an ENT office and am looking for part time work to do at home.  My only problem is that I never went to school and am not certified which makes it difficult to find a job.  I have only had on-the-job training but I feel that I am very good at what I do and have learned quickly in my experience as an MT.  Does anyone have any tips on how or where to find a job?

Try searching the archives. Some of us get tired of

Searching in WP 5.1 documents through Windows XP
 I have changed word processing programs from DOS-based to Windows-based programs, but still need to access the old WP 5.1 documents. I am having trouble searching the documents through Windows, i.e., searching for a person's name, etc. inside the document.  Do you have any suggestions?

for any kind of stories related to identity theft resulting from offshore medical (or other) records is a start. Another angle would be to look for info. from editors on specific instances (Pt. privacy respected, of course!) where offshored or even US bargain-basement transcription came back with errors that could have caused injury or legal action.

This company looks they offer good service in our area according to their add but I have never heard of them before.  Any news would be appreciated.

I don't know anyone who gets massages, so I have to go through the search process (yellow pages). Try one, if that doesn't work, try another.  One who works on athletes is a good bet.  When I call and talk to them, I tell them exactly what my problem is and what I'm wanting -- very deep tissue, therapeutic massage to work out the adhesions in the arms and lots of upper back/shoulder work. Ones who have been around awhile have worked on many with this exact problem.  Unfortunately, not all of them will work for YOU, so it's a matter of trying one for a few months, then evaluating how you feel. If you're not better by then, move on.  I just left one who I was SURE would help because of her style (rolfing), alas the arms got worse.  I have one now who does exactly what I need.  imho, gadgets and pills may relieve some pain, but they don't straighten out the muscles that's causing the problem.  (btdt) If you can't go the professional route, get a shiatsu massager thingie, and dig that into your arms, shoulders, upper back and neck.  They're all connected.  The tingling I get in my little and ring fingers is relieved by working out the back of my shoulder. (I can't do my own massage well enough myself to maintain, but it's good for spot treatments.)  The massage is painful, but it's worth it to keep my profession, and lifestyle, alive for me.


 


Anyone having probs searching for docs on ExText?
Is anyone else having this problem lately? In ExText, when I search for a physician's name by using the Cntrl-A function, it is extremely slow, and about half the time, the search seems to freeze, and then I get a message that the connection has been lost. I click on "Retry", am connected, and physicians' names are displayed. The whole process is as slow as molasses, and occasionally, I get completely kicked out of the system, or everything freezes up solid. This has been happening for about 2 to 3 days.

I'm thrilled! After much, much searching on VRBO.com I finally found a 2 br condo in the heart of

                           Destin, FL, for 7 days!!! I've been searching and searching, but to no avail.  These condo owners crack me up! I would either get NO response or a "Sorry, week not available. Try another week." Or the famous, "Yes, it is available." And then I respond to that and never hear from them again! I guess they decide they don't want to rent to us.  I always sign my emails with a very professional-looking signature such as, Jane Doe, Medical Editor, MQ Corp....and then my phone number! LOL  Makes me look so much smarter!! And it's true!!


 


Anyways, I am so happy for myself and my family...7 days on the Gulf of Mexico. I work on a laptop so I don't plan on taking any time off since I've already gone away this year to Disneyworld. Plus, they have wireless access.

I read your post and was wondering if I could get in this thread?  I don't have my own accts yet, I work for a small national and a large national.  However, I am seriously thinking about getting my own accts.  Before I go looking, I thought it would be good idea to have a digital system in mind and ready to set up. 


One idea that I have seen that I found really interesting was in the Transcription Gear Catalog.  There is a 2 page spread about their idigital system.  This is a toll free dictation ASP, very similar to what the nationals have, I would think.  With this system, you pay for the minutes that you will use during the month.  Has anyone else used this type of system?  Any thoughts about it?

I have two different setups for digital.  I have an internet based call in system, which allows me to set up Transcriptionist to receive the work directly to their systems using Express scribe and I also have a doctor who uses a handheld digital recorder that he uploads in the evenings and sends the work to me through Magic Vortex......There are several great companies for you to check out.  RTKING,  JAY VANCE,  START STOP TRANSCRIPTION are a few good places to start with.   There are also other options for sending and receiving work,  such as FTP sites, Hypersend, Magic Vortex and many more.

I switched to my 5 accounts to digital using Jay Vance with Vance Digital in March. I absolutely LOVE it! Wish I would have done this 5 years ago! e-mail me with any questions.

How on earth do you print to the docs? Do you both have to have the same WP program and do you supply them with a printer? The offices I worked with were too lazy to even take the tape out of the tape recorder, "not their job" so I gave up on asking them to do "anything at all" as they were so lazy. By the way, thanks for sharing, not too many are willing to do this; would rather play their hand close to their chest. You are a wonder! Thank you!

I'm doing digital for my client and it's wonderful--no more traffic jams. They use Olympus handheld dictation devices. We use hushmail to upload the dictation and transcribed reports so they are encrypted and HIPPA compliant. It's fairly inexpensive -- I believe $30 a year. One nice thing about that you can be anyway to pick up your files as long as you have internet access. I've often taken my laptop with me on vacation to cover emergency work. Not that I want to work on vacation, but it makes the client feel better knowing you can access the work.
If you want to go digital this is what I did
Purchased DocShuttle Admin ($300) and DocShuttle Client for myself ($99), had doctor purchase DocShuttle Dictator ($99) and an Olympus recorder ($129). Rented FTP site (about $45/yr).  Set up DocShuttle so once dictator docks the recorder, it takes file from recorder and erases recorder, imports into DocShuttle, goes to ftp site, posts new dictation, pulls off old.  You may want to go to Bytescribe's site though and see if the program they have for doing it by email would work for you. If you are the only MT and they are the only client, then do it by email. Email me if you need any further clarifications.

for those new to digital...

FTP stands for file transfer protocol. An FTP program transfers files (uploads and downloads) from a virtual warehouse on the Internet, called an FTP site. FTP sites are rented by size. FTP programs are free or cost a fee. You can post ANYTHING to an FTP site. You can put your's kid's first grade picture there. You can put your resume there. You can put your back up data from your Quicken there. You can put a love letter there. You can put a .wav file there. You can put a MSWord document there. You can create folders there. You can password protect your ftp site and some software allows encryption, different levels of user permissions, etc.  Once it is there, anyone who has the password to your FTP site can then go and pull it off. i.e. TRANSFER the FILE.  So if your doctor dictates on a digital recorder, downloads the voice file into his PC, then uploads the .wav file to the FTP site, you can go to the FTP site, download the .wav file, transcribe it, post a .doc back to the FTP site wherein your doc can then go to the FTP site, pull the .doc off. Voila!
